PROCESS
How Our Overseas Inspection Support Works
From risk mitigation during preparation to negotiation on the day and improvement afterward, our team of language and regulatory specialists supports you through all three phases as a one-stop service.
01Pre-Inspection: Preparation & Planning
PHASE 1
Making risks visible and addressing them strategically
In this phase, we analyze your current state and close the gaps ahead of the real event (an authority inspection or audit). We identify your potential risks and build the logic needed to avoid findings on the day. Our experts uncover risks in advance through mock inspections and self-inspections, and we manage quality evaluation and supply-chain risk through supplier audits on your behalf.
01
Mock Audits (Mock Inspections)
Former FDA investigators and other experienced experts conduct the audit from the same perspective and with the same methods as the real inspection.
We identify risks that could lead to findings in advance, so there are no surprises on the day.
Self-inspections (internal audits) run only with in-house resources tend to become routine. We bring in an external perspective to detect potential deficiencies.
This is the on-site support phase on the day of the inspection or audit. Going beyond interpretation alone, we manage communication so that the audit runs smoothly and findings caused by misunderstanding are avoided. Beyond on-site handling on the day, we strengthen your interpersonal and organizational soft skills, including staff development and preparing the environment in the lead-up.
04
Strategic Interpretation for Inspections
Rather than simple language conversion (consecutive interpretation), we provide interpretation that moves things forward: we understand the background to each question and the regulatory requirements, and guide you to answers that avoid misunderstanding.
Our team, well versed in GMP/GQP terminology, establishes smooth communication with the auditors.
05
Staff Training & Coaching
We coach your staff on how to answer inspectors' questions appropriately, how to conduct themselves (behavior), when to present documents, and more.
We ease on-site staff's anxiety and build a mindset that lets them respond with confidence.
We support the operation of the back room, the command center that steers the inspection. By tracking document preparation status and checking answers for consistency, we build an organized response structure.
This is the follow-up phase for the findings raised. Beyond short-term firefighting, we help you turn them into quality improvements across the organization. Through training on inspections and quality control, we promote knowledge sharing and skill development, and we assess potential risks and propose practical improvement measures.
07
Response Drafting Support (Response Strategy)
We support you in drafting responses that the authority can accept, both for questions raised during the inspection and for findings issued at its close (such as FDA Form 483).
We help you set out logically why the event occurred and how you will address it, and advise on wording that avoids creating a negative impression.
We follow up to confirm that the planned improvements are reliably implemented and embedded on site.
10
Closing Support
We support you side by side in your communication with the authority through to the end, toward final goals such as receiving the EIR (Establishment Inspection Report) or obtaining GMP compliance certification.
11
Translation & Review of Technical Documents
We translate responses and submission documents (SOPs, validation records, etc.) from Japanese into English and from English into Japanese.
Using the terminology specific to regulatory authorities (regulatory terminology), we produce accurate, professional documents.
